I’ve used this prompt for months - it works for almost any formula task:
You are my Excel expert. I need a formula.
MY TABLE:
- Column A: Customer name
- Column B: Order date
- Column C: Revenue
(adjust the columns to your table)
WHAT I WANT TO ACHIEVE:
[Describe your goal in one sentence]
Give me:
1. The finished formula to copy
2. A short explanation of what the formula does
3. What I need to watch out for (e.g. absolute references)

Example: Generate VLOOKUP or XLOOKUP
Instead of wrestling with XLOOKUP syntax, you simply write:
In Sheet1 I have an article number in column A.
In Sheet2 there are article numbers (column A) and prices (column B).
In Sheet1 column B I want to show the matching price from Sheet2.
Which formula do I need in Excel?
The AI delivers the right XLOOKUP or VLOOKUP formula - and explains right away why XLOOKUP is the more modern and robust choice.
Example: Understand Pivot Tables
Pivot tables are powerful but intimidating. Have the setup explained to you:
I have a table with columns: Date, Region, Product, Revenue.

Sometimes you inherit a sheet with a 200-character formula and no idea what it does. Just paste it into the AI:

What You Should Watch Out For
Describe the table structure clearly: The more precisely you state columns and contents, the more accurate the formula. “Column with date” often isn’t enough - say “column B, format DD/MM/YYYY”.
Always test formulas: AI makes mistakes, especially when choosing between column and row references. Check the result against a few known values.
German vs. English: The German Excel version uses SVERWEIS, the English one VLOOKUP. Tell the AI explicitly which language version you have - otherwise you’ll get function names Excel doesn’t recognise.
No sensitive data: Describe the structure of your table, but don’t paste real customer data into public AI tools. The schema alone is plenty for the formula.
Regional separators: The German Excel version often uses ; instead of , as the argument separator. Mention this if the generated formula doesn’t work directly.

- State the table structure (which column contains what)
- Name the language version (German or English Excel)
- State the tool (Excel or Google Sheets)
- Paste the formula and test against sample values
- On errors: copy the error message back into the AI
- Read the explanation to learn for next time
